General Terms and Conditions for all Borealis tours This page is under construction (4 February 2005)
Terms and Conditions of previous Borealis Outdoor Adventure Inc. guided tours Accommodation Your tour includes campsite accommodation at each overnight stop, unless noted otherwise on the tour itinerary. You will need a tent, sleeping bag and sleeping pad. If you prefer, you can make private arrangements to rent camping equipment. We'll send you information on equipment rental when you register. All overnight stops include shower and washroom facilities. Hotel/motel accommodation is available in most cities, towns and villages on the tour route. Please feel free to make your own arrangements to stay at these facilities if you prefer not to camp. Any arrangements you make to stay at these facilities are entirely at your own expense. Your tour includes all meals, unless indicated otherwise on the tour itinerary. Breakfasts and suppers are provided at the campground or at local establishments. In some instances, restaurant meals are not included in the tour price. Where restaurant meals are not included, you will find this stated on the tour itinerary. Lunches are picnic lunches provided along the route or packed lunches supplied at the beginning of the day, as noted on the itinerary. In addition to regular meals, support vehicles carry fresh fruit, juices, water and other snacks Your tour registration also includes a pre-tour reception the evening before departure and an end-of-tour meal on the last evening of the tour. We are happy to introduce anyone to the joys of touring by bicycle - at any age. There is no extra charge for infants or small children travelling in a child carrier or trailer. Each family member riding a bicycle (that is, not travelling in a trailer or sitting in a child carrier), however, is treated as a separate registrant, regardless of age. Anyone under the age of 18 must be accompanied by a responsible adult. By participating in the tour, you consent to and authorize Borealis Outdoor Adventure, tour organizers, and tour photographers to reproduce and circulate any photograph taken during the tour for any and all purposes, including publication and advertising. Reservations and Confirmations To reserve your participation in the tour, full payment is required 30 days before departure. Late registrations (registrations fewer than 30 days before departure) may be accepted at the discretion of tour organizers. We must receive your completed registration form 30 days before departure in order to confirm your reservation. You can reserve your participation even earlier by sending a deposit of $150.00 at any time before the full payment deadline. If you find it necessary to cancel your reservation and we receive written notice (by mail, email or facsimile) 30 or more days before departure, we'll refund all of your payment, less a $150.00 administration fee. If you cancel fewer than 30 days before departure, but more than two weeks before departure, we will refund 50 percent of your payment. If you cancel two weeks or less before departure, there is no refund. This isn't because we want to be disagreeable. We make nonrefundable payments on your behalf to our suppliers and are unable to receive the necessary refunds to send back to you. If we cancel the tour because of insufficient registrations or unforeseeable circumstances, we will refund all of your payments or credit your payments to next year's tour. We will notify registrants at least 30 days before departure if their tour must be cancelled. We are not responsible for additional costs such as nonrefundable airline tickets (see travel insurance, below). All participants are expected to follow the rules of the road. Anyone who disregards traffic laws and regulations or who, in the opinion of tour organizers, presents a danger to himself or herself or to others may be asked to leave the tour. There is no refund for anyone removed from the tour. No one will be asked to leave the tour without cause, however, nor without receiving reasonable opportunity to comply with safety and traffic rules. We strongly recommend that you carry travel insurance. This insurance will give you a full refund if you must cancel or interrupt your trip because of injury or illness and provides comprehensive coverage in the event of accident or baggage loss. If you purchase insurance, you must do so at the time you pay your deposit. See your travel agent for more information. If you're of average fitness you should be able to complete any of our tours without difficulty, even if this is your first bicycle tour. If you're a fitness fanatic, you will have ample time to take self-guided side trips or to engage in other fitness activities like swimming and hiking. The cycling is spectacular, but there's time to expand your vacation in the way that you want to. When you register, we'll send you information about preparing for your trip. The further in advance you register, the more time you'll have to get ready and the more you'll enjoy the tour. Once you're on the tour, our experienced tour leaders will help you complete the tour within your capabilities and our helpful support drivers will provide a lift if you get tired. Tours can be completed at a leisurely 15 km/hr (10 mph). Unless stated to the contrary on the tour itinerary, tour prices include camping fees, breakfasts, picnic or packed lunches, dinners (except restaurant meals in some cases, as noted on your itinerary), route maps and guidebook, admission fees to all attractions on the itinerary, transportation of baggage, and fully-equipped support vehicle. Alcoholic beverages and tips for those who serve them are not included. Each tour is led by qualified CAN-BIKE cyclists. Support vehicles carry snacks and refreshments, equipment for bicycle repairs, sunblock lotion and other items to make your trip more comfortable, as well as your luggage and purchases. Attractions and events not on the itinerary and incidentals of a personal nature are not included in the tour's price. You need only a bicycle, helmet, clothing, tent, sleeping bag and pad, and whatever personal effects make your life comfortable. We'll mail you a list of suggestions when you register. Bicycles and helmets can be rented at additional charge. Quantities and styles are limited, so we cannot guarantee availability. We'll send you information on equipment rentals when you register. Tours begin and end at the locations indicated on the tour itinerary. Directions to the departure point, check-in information and other details will be sent to you when you register. You can also make arrangements with us to pick you up at the airport. Entry Regulations You will need a valid passport to enter Canada, unless you are an American citizen and can provide proof of citizenship and residence. Persons visiting from countries other than the U.S.A. must have a valid passport and may require other documentation such as visas or alien cards. Check with a Canadian embassy. Persons under the age of 18 traveling without their parents should have a letter of authorization to travel in Canada from a parent or guardian. |
